BOFU Calculator Report

Introduction

Purpose

This Documentation explains each tab in the BOFU (Bottom of Funnel) Calculator Report. The aim is to simplify the workflow of keeping lead statuses consistent between the clients CRM (e.g. SFDC) and the related process in WMS. The ultimate result is the funnel report matches the client CRM system.

The report supports two types of bulk updates: 

  1. Re-activate WMS processes that were previously disqualified (so the process has ended) and have been re-activated again in the clients CRM system e.g. SFDC
  2. Update active WMS processes that have progressed in the clients CRM system e.g. SFDC

How to use / Interpret

The update process is different depending on the type of bulk update that needs to be conducted. The BOFU Calculator Report contains 3 tabs: 

  1. Introduction
  2. Re-activate Processes
  3. Processes to Update

The Introduction tab opens automatically when you access the report, and shows the actions that must be taken and who is responsible for each action to complete the bulk update.

It is important to note that fewer actions may be required for bulk update if all WMS data was originated in My Demeter, meaning there was no data migration from another system. The diagram below represents foreseeable steps where a migration has occurred.

There's a last modified date (top right) to capture receipt of client CRM data. This date and time stamp is a manual refresh done upon receipt of a client data file to make it easy to identify when a file was last sent to the support team. 

  

Re-activate Processes

IMPORTANT: Bulk updater has a limit of 500 rows, extracts that exceed this limit must be split into the appropriate number of files.

The Re-activate Processes tab displays all processes that have been re-activated in the client CRM system e.g. SFDC and are currently Disqualified in WMS. This happens mostly when the client CRM system has nurture programs once as record is originally disqualified, which can be automated (scoring systems) or status updates from actions from other marketing activities.

The reason why WMS processes must be re-activated is because a record which is disqualified has a completed WMS process (the process ended = closed) so cannot be changed.

Any ended WMS process for which it's client side counterpart is brought to an active status, must be re-activated so that we can match the lead status with the one in the client CRM system.

Follow these steps to complete the bulk update process for the 'Power BI Report - Re-activate Processes' track:

  1. Use the 'Process ID Source' filter to swap between V2 IDs and V3 Shortlinks (having v2 ID's implies there was data migration)
    1. Count for Total Processes to Re-activate will change based on the filter applied in 'Process ID Source'
  2. Download the table to an excel file by hovering the cursor over the table, click the 'More options' button in the top right corner, and select 'Export data' from the menu
  3. Delete applied filters row at the bottom of exported data and Rename tab to 'Sheet1'
  4. Submit a support request to rollback the processes (V2 and V3)
  5. Once the support request is done, you send the downloaded extract to the relevant email address

Each client will have their own set of bulk update emails (one for updating by V2 IDs and one for updating by V3 Shortlinks), you can find the appropriate emails at the bottom of the "Instructions" panel.

Processes to Update

IMPORTANT: Bulk updater has a limit of 500 rows, extracts that exceed this limit must be split into the appropriate number of files.

The Processes to Update tab displays all processes from the client CRM System e.g. SFDC with a lead status that does not match the lead status in WMS.

Follow these steps to complete the bulk update process for the "Power BI Report - Processes to Update" track:

  1. Use the "Process ID Source" filter to swap between V2 and V3 IDs(having v2 ID's implies there was data migration)
  2. Download the table to an excel file by hovering the cursor over the table, click the "More options" button in the top right corner, and select "Export data" from the menu
  3. Delete applied filters row at the bottom of exported data and Rename tab to "Sheet1"
  4. Send the extract to the relevant email

Unmatched Processes

This tab displays all processes from SFDC with an EIMS ID that cannot be found at the time the report was refreshed.

Firstly, check the EIMS IDs exist in WMS.

It is possible the last sync did not include some data that is already visible in the clients CRM. If this is the case, submit a separate support request to resync the data warehouse tables for the client.

Another reason why there might be an unmatched process is if the record was not migrated (deleted or abandoned before migration). If this is the case then the record must be imported into WMS before it can count towards BOFU.

Download the table to an excel file by hovering the cursor over the table, click the "More options" button in the top right corner, and select "Export data" from the menu.
